Customer Service Administrator (Weekends)

The Napier District Masonic Trust is proud to have assisted the aged in our community for the past 60 years and will continue to plan and provide housing and care for our elderly in the coming years.  We have an excellent reputation for providing quality residential aged care and affordable retirement village accommodation. We believe every elderly person has a right to a place they can call home regardless of age, stage, means or needs. We are a community built on love, respect and care for our residents, their families and each other.

About Our Role

We’re seeking a friendly, organised Customer Services Administrator to be the welcoming face of our Taradale facility on weekends. Working Saturdays and Sundays, 10am – 4pm. You’ll be the first point of contract for residents, whanau, and visitors, helping to create a warm and positive experience  while keeping weekend operations running smoothly.

You’ll combine customer service with administration support, assisting with weekend operations and responding to enquiries. Your contribution will help ensure our residents and visitors experience safe, enjoyable and seamless service.

Key Responsibilities:

Resident Support & Engagement:

  • Welcome and support residents, families and visitors with warmth and professionalism;
  • Act as a helpful point of contact, providing assistance, direction and technology support (TV, music, movie theatre etc.);
  • Assist with the setup of weekend activities and ensure lounge areas are always well presented and welcoming.

Administration Support:

  • Manage reception, phone and email enquiries, providing efficient admin support (photocopying, scanning, printing, data entry);
  • Prepare and distribute communications such as posters, menus and schedules, ensuring information is clear and timely;
  • Manage and maintain records and correspondence (filing, mail, packages, newspapers) accurately and promptly;
  • Support IT, phone and general facility needs, escalating where required, while safeguarding sensitive information with discretion.

This is a role where compassion meets organisation – ideal for someone who enjoys making a positive impact every day.

About You

You’re someone who combines kindness with organisation and enjoys being a reliable point of contact for others. With a calm, solutions‑focused approach, you’re confident working independently and using initiative to support residents, families, and staff during weekends. You’re comfortable with technology and take care in everything you do.

Previous healthcare or aged care experience is an advantage, but most important is your patience, empathy and ability to connect with people from all walks of life.

You will ideally bring:

  • Proven customer service experience, with a warm and professional manner.
  • Strong organisational skills and confidence working independently.
  • Sound computer literacy across Microsoft Office 365 and database systems.
  • A proactive approach, with accuracy and attention to detail in all tasks.
  • A compassionate and caring manner, with resilience and a sense of humour.

What We Offer:

  • Purpose with heart – play a key role in supporting the wellbeing and dignity of our elderly community.
  • A caring culture – be part of a supportive team built on aroha, respect and genuine connection.
  • Balance & variety – enjoy weekend hours that leave your weekdays free, with a mix of reception, resident engagement and admin support.
  • Great rewards – a competitive remuneration package with excellent additional staff benefits.
